Shopify to Aptean integration

Connecting Shopify and Aptean through one governed integration platform keeps your systems aligned, your data consistent, and your workflows running automatically, no manual handoffs, even as systems change and volumes grow.

Lot and batch detail, specification data and genuinely sellable availability from Aptean reach Shopify, so what you sell online carries the same traceability record as everything leaving the plant.

Integration overview

Start with Shopify and Aptean. Scale to your full system landscape.

Aptean is used where what you shipped matters as much as how much: food, chemicals and other regulated production where lot, batch and expiry are part of the record. Shopify has no native idea of any of that. Online orders get allocated by hand, and when a recall question arrives nobody can say which web customers received which lot. A Shopify to Aptean integration through Alumio carries that detail across: availability reflects what is sellable by date, allocation happens against real batches, and every web order keeps its lot reference. Traceability stops ending at the warehouse door.

Why integrate Shopify with Aptean?

When Shopify and Aptean run separately, every data handoff is manual. That creates errors, delays, and a fragility that grows with every process you add.

Traceability covers web orders

Each Shopify order keeps the Aptean lot reference it was filled from, so a recall or customer query is answered from the record rather than reconstructed from two systems by hand.

Short-dated stock priced honestly

Aptean expiry data reaches Shopify, so availability reflects what can actually be shipped and sold within date instead of a total that includes stock nobody should send.

Specifications customers can read

Product specification detail held in Aptean renders on the Shopify page, which answers ingredient, grade and handling questions that would otherwise arrive as support tickets.

Allocation without a spreadsheet

Web orders are allocated against Aptean batches automatically, removing the manual matching step where operators decide by hand which lot an online order should draw from.

THE PROBLEM

How businesses use this integration

These are the scenarios where a live connection between Shopify and Aptean delivers the most immediate operational value.

01

Batch-aware online orders

A Shopify order is allocated against a specific Aptean lot as it is created, so the shipment carries a traceable batch reference from the start and customer service can answer a provenance question without calling the plant.

02

Selling within date

Alumio uses Aptean expiry and quality-hold data to decide what Shopify presents as available, so short-dated or held stock is withheld from the storefront rather than sold and then substituted after the customer has paid.

03

Specification on the page

Specification attributes maintained in Aptean are published to the matching Shopify product, so grade, composition and handling guidance appear where buyers look for them instead of arriving later as an emailed data sheet.

FREQUENTLY ASKED QUESTIONS

Questions about the Shopify and Aptean integration

Integration Platform-ipaas-slider-right
Is a Shopify to Aptean integration limited to those two systems, or can more be connected?

More can be connected, and in regulated production the next system is usually a warehouse management system, since Aptean holds the batch record while the warehouse decides what physically ships. Alumio connects Shopify, Aptean and the warehouse on one platform, so the lot allocated at order time is the lot confirmed at dispatch rather than something reconciled afterwards.

Integration Platform-ipaas-slider-right
Can Alumio sync Aptean availability and lot data to Shopify automatically?

Yes. Alumio reads availability from Aptean and applies your own rules about what is sellable, including expiry windows and quality holds, before updating Shopify. Lot references travel in the other direction with each order. That means the storefront figure is a commercial decision about what should be sold, not a raw stock number that happens to include product still under test.

Integration Platform-ipaas-slider-right
Do I need to write code to connect Shopify to Aptean?

Configuration covers it. The mapping between Aptean products, lots and Shopify variants is built in the Alumio interface, which replaces the manual allocation and spreadsheet reconciliation this pairing usually runs on. Aptean is deployed differently across food, chemical and process industries, and a batch or catchweight rule that configuration has no way to describe can be handled with custom logic in the Code Transformer.

What happens when Aptean allocates a different lot after a Shopify order is placed?

The Shopify order is updated with the lot that was actually used. Alumio treats the Aptean allocation as authoritative and writes the confirmed batch reference back against the order, so the customer record and the traceability record agree even when the warehouse substitutes. Where the substitution changes something the buyer cares about, such as grade or date, the change surfaces as an exception rather than passing through unnoticed.

What happens if a sync fails between Shopify and Aptean?

Alumio catches it before a customer is affected. Every message exchanged with Aptean is logged with its content and watched live, and a rejection raises an immediate alert naming the lot, the product and the error returned. Transient faults are retried automatically where configured, and an order that could not be allocated stays flagged in the queue, so nothing is quietly dropped.
